A Downtown Holiday 2021 Vendor Guidelines
Join the Downtown FWB Organization on December 12th from 11am-4pm at the Fort Walton Beach Landing Park for the seventh annual “A Downtown Holiday.” The beloved outdoor market continues to support small businesses across the region, welcoming shoppers for a safe, and socially distant shopping experience in the heart of Downtown FWB. With current circumstances this year’s event will be trimmed down to vendors with one entertainer. Therefore, we have cut the vendor fee in half from previous years. All affiliated market workers and shoppers are encouraged to use their best judgement for their personal protection. Masks are welcomed. Come enjoy a beautiful day filled with holiday shopping from many of your favorite local vendors, where guests can shop confidently in a safe environment.

- Estimated Attendance: 500-1,000
- A vendor fee of $50.00, payable to the “Downtown FWB Organization” is required. The deadline to register is 8:00pm, Friday, December 10th, 2020.
- Food trucks, food vendors, restaurants, and Direct Sales vendors are welcome pending approval. Please email Ashley Sukalski, Director of Events, at events.downtownfwb@gmail.com for approval prior to registering.
- All boutique businesses, handmade artisan vendors, and craft vendors are welcome while space is available.
- Vendor registration for this event is nonrefundable. Space is limited therefore, once a vendor submits payment for this event, no refunds will be given. The Downtown FWB Organization, Inc. reserves the right to reschedule or cancel this event (or portions thereof) in the case of inclement or any severe weather threat for safety purposes.
- Any Vendor payment for participation in this event will be honored in the case of the event being rescheduled however, no refunds will be issued. If the Downtown FWB Organization, Inc. is unable to support a rescheduled event date, all vendor payments will be forfeited.
- In addition, vendors must purchase power if power is needed. Power will be available for an additional fee of $10.00. There is an additional shopping cart item for this fee. Note: Vendors purchasing power must bring their own 100’ extension cord(s) and are responsible for their safe placement.
- Each power pedestal has the following: 5- 120V 20 Amp receptacles, 1- 120/250V 30 Amp, and 4 Wire Receptacle. If you need other options for hooking up power, please let us know via email at events.downtownfwb@gmail.com
- Vendors will receive their booth number, vendor map, and assigned set up time via email after the vendor registration deadline.
- All vendors are expected to arrive at their assigned set-up time and remain set up until 4:00pm. Early breakdown will not be permitted. Failure to comply will result in revocation of privileges for future events.
- Vendors are required to have a presentable booth space with a 10×10 tent only. If a vendor needs a space larger than 10×10, 2 spaces must be purchased. We highly recommend all vendors decorate their booth with a little Holiday cheer as this is a fun community event!
- Lights, tables, tents, chairs, extension cords, etc. are not provided. Vendors must provide their own equipment and any additional materials for item display/sales.
- Vendors may not use set-up materials that will permanently damage the assigned space. Vendors will be held responsible for any damage.
- The Downtown Fort Walton Beach Organization must approve any signage that a Vendor chooses to use in his or her space and has the sole discretion to disapprove any sign or signage considered to be inappropriate.
- All market workers and shoppers are encouraged to use their best judgement for their personal safety. Masks are welcomed. Social Distancing is encouraged.
Vendor Agreement:
- A vendor fee of $50.00, payable to the “Downtown FWB Organization” is required and vendors may pay and register at www.shop.downtownfwb.com by 8:00 pm, Friday, December 10th, 2020.
- Vendor registration for this event is nonrefundable. Space is limited therefore, once a vendor submits payment for this event, no refunds will be given. - Vendors must notify Ashley Sukalski with the Downtown FWB Organization by email at, events.downtownfwb@gmail.com, no later than 8:00pm on Friday, December 10th, 2020 if such Vendor will not occupy their paid space.
- Every Vendor at this event must comply with applicable federal, state, and local laws, ordinances, and regulations. Collection and filing of any applicable taxes and payment to the appropriate taxing authority is the sole responsibility of the Vendor.
- No Vendor shall be allowed to sell from any space at the Fort Walton Beach Landing without registering and completing payment of vendor fee by said deadline.
- The Downtown Fort Walton Beach Organization reserves the right to offer, renew, or refuse a space to any Vendor with or without cause.
- Vendors shall be responsible for the actions of employees, agents, or other persons working for, or with, the Vendor.
- Clean-up: Vendors are required to clean up after themselves and their customers. Vendor space must be maintained in a clean, safe, and sanitary manner. All trash must be disposed of in the dumpster at the Landing. No exceptions. All cardboard must be broken down and placed in the recycling dumpsters at the Landing.
Food Vendor Agreement:
- Vendors selling prepared foods (breads, cakes, homemade beverages, etc.) must secure a food permit or be in compliance with the “Florida Cottage Laws.” Contact the Florida Department of Agriculture (850-245-5520) for more information.
- All cardboard must be broken down and placed in the recycling dumpsters at the Landing.
- Food Handlers Permit: All food vendors are responsible to have their credentials on-site and are liable for the cost of a Food Handlers’ Permit through the State of Florida.
- Food Booth Cooking Requirements: Booths that use any type of oven, grill, deep-fat fryer, flame-operated appliance, or heating element are required to have a minimum of a charged 40BC fire extinguisher.
- Booth wastewater and cooking grease MUST be contained and may NOT be disposed of onsite
Vendor Parking:
- Vehicles are permitted into the booth area before and after the event for loading and unloading only. Be cautious of other vendors and patrons! Vendors will be expected to unload their vehicles, and then move them off the Landing before setting up their booth space.
- Vendors should plan to move their vehicles furthest away from the Landing to encourage patron parking.
Health, Sanitation, and Safety:
- Public trash cans will be available.
- Vendors are responsible for the collection and proper disposal of all refuse, grease, and trash generated from their space. Booth wastewater and cooking grease MUST be contained and may NOT be disposed of onsite.
- Vendors are responsible to see that their areas are left clean and orderly when they leave the event for the day. Failure to comply with this section may result in the imposition of the actual cost of any cleanup, to be collected by the Downtown Fort Walton Beach Organization.
- The Downtown Fort Walton Beach Organization and is not responsible or liable for damage to or loss of any personal or other items in any assigned Vendor space.
- Children less than 14 years of age brought to the event by Vendors must be under the constant supervision of a designated adult.
- Vendors and their representatives agree to protect and hold the Downtown Fort Walton Beach Organization, their employees, agents, and representatives harmless and to protect such entities from any and all claims, demands, suits, actions, judgments, and recoveries for or on account of any damage, theft, or injury (including death) to property or person occurring as a result of Vendor’s use of the events space for which the Vendor has been approved.

General Information:
- The Downtown Fort Walton Beach Organization promotes a family atmosphere. Vendors shall conduct themselves at all times in a courteous and professional manner. Proper dress is required of all Vendors. Rude, abusive, or other disruptive or offensive conduct is not permitted. Profanity or otherwise offensive language, including gestures, is prohibited.
- Vendors who violate any of the regulations contained in these guidelines will be given a verbal warning. A second violation for the same or for a different violation will result in immediate eviction/termination of the vendor’s paid space.
