Downtown FWB Street Fest

 FALL SEASON 

  • The Downtown FWB Street Fest will be the 1st Friday beginning in September and continuing until November from 6pm to 9pm, rain or shine, The Director of Events, with the consent of the Downtown FWB Organization, may curtail and/or modify such days and/or hours of operation for reasons such as lack of activity during inclement weather.
  • Vendors are required to pay a nonrefundable fee of $25.00 per vendor per Street Fest.
  • ALL VENDOR FEES ARE TO BE PAYED BY THE MONDAY PRIOR TO THE EVENT. (Deadlines: August 27, 2018 | October 1, 2018 | October 29, 2018)
  • ALL venders are expected to arrive for setup no later than 5:30pm to ensure the Street Fest is ready for patrons by 6:00pm. Vendor will not be accepted for future events if vendor fails to comply.
  • Should an emergency arise and the vender may be arriving later than the set-up time, the vender shall notify the Director of Events, Jennifer Bundrick, no later than 4pm by phone at (850) 218-0812 or email at events.downtownfwb@gmail.com, as far in advance as possible.

REQUIREMENTS FOR VENDORS 

  • Direct Sales & Food Vendors must be pre-approved. Please email Jennifer Bundrick at events.downtownfwb@gmail.com for approval! All vendors with handmade products and presentable booth spaces will be accepted while space is available.
  • Every vendor at the Downtown FWB Street Fest must comply with applicable federal, state, and local laws, ordinances, and regulations.
  • Collection and filing of any applicable taxes and payment to the appropriate taxing authority is the sole responsibility of the vendor.
  • Vendors will be set up along Brooks Street and HWY 98 and ready for patrons when the Street Fest begins. Vendors must remain set up until the event is over. Failure to be set up 5:30pm or to notify the Director of Events may result in the release of the space to another vendor for that day and future event dates.
  • Cleanup: venders are required to clean up after themselves. The vendor’s space must be maintained in a clean, safe and sanitary manner.
  • Vendors are required to have a presentable booth space.

STREET FEST SPACE AGREEMENTS 

  • Vendors will be assigned designated spaces along the Brooks Street and HWY 98 sidewalk. THE DIRECTOR OF EVENTS AND DOWNTOWN FWB ORGANIZATION BOARD MEMBERS WILL ASSIGN AND EMAIL VENDERS THEIR LOCATION BY 9PM THE WEDNESDAY BEFORE THE STREET FEST.
  • The Director of Events, will be at the event no later than 4:00pm. Vendors must notify the Director of Events by phone (850) 218-0812 or e-mail, downtownfwb@gmail.com, by 5:00pm the TUESDAY before the event if such vendor will not occupy their paid space(s) for that Friday.
  • The Street Fest Fee is $25.00 per event. All fees are nonrefundable. No exceptions.
  • Spaces are assigned upon registration. The approved registrant may only use the assigned space.
  • No vendor shall be allowed to sell from any space without registering.
  • When assigning vendor spaces, the variety of product is significant. Registration is processed in the order that they are received, and spots are assigned, considering the item(s) that will be sold and space availability.

VENDOR PLACEMENT: 

  • Vendors are required to set up at the assigned location unless otherwise approved by the director, no exceptions.
  • Vendors will be rotated throughout the season and no vendor will be given permanent spaces every month unless requested by a Downtown FWB business owner. The business owner MUST contact the Director of Events and let them know about this agreement.
  • Vendor set up time is at the discretion of the vendor, meaning a vendor can arrive as early as they see fit but not later than 5:30pm. If a vendor has not occupied his/her space by the above time the space may be assigned to another vendor. Prior arrangements may be made, with the Director of Events, if a vender will arrive later than 5:30pm.
  • Space allowing, the Director of Events may allow vendors to relocate to unoccupied spaces within their respective area after all vendors have been placed.
  • After all vendors have been placed and at the discretion of the Director of Events, vendors may spread to an approved adjacent space.
  • Vendor relocation shall be at the discretion of the Director of Events and shall be based on reasons regarding feasible and practical distribution of vendors and/or art.
  • The Downtown FWB Organization reserves the right to refuse to offer or renew a space to any vender, or to relocate or revoke any space without cause for an events space previously issued, when it is in the best interests of the event. The Downtown FWB Organization further reserves the right to revoke at any time or not renew any space without cause. The following shall be grounds for immediate cancellation of any space, for cause, without prior notification(a) failure to meet the terms of the agreement, (b) failure to comply with the guidelines.
  • Vendors shall be responsible for the actions of employees, agents, or other persons working for, or with, the artist.

VENDOR SPACE 

  • Tents are NOT permitted as this is a sidewalk event.
  • The sidewalk MUST be visible and easily accessed by strollers/wheelchairs at ALL times no exceptions.
  • Power: outlets are not available in all locations throughout Downtown FWB; however, if power is available, all power cords must be covered with tape or a mat provided by the vender. It is recommended that everyone bring battery powered lights.
  • Vendors must provide their own equipment and any additional materials for display of items.
  • Vendors may not use materials that permanently damage the space or business storefront.
  • Vendors are responsible for their own tables, chairs, lights, etc. ALL tables must look presentable. Nothing is to be hung over the rail along the sidewalk
  • The Director of Events must approve any sign that a vender wishes to use in his or her space. Blockage of any business or storefront is not permitted. The Director of Events has the sole discretion to disapprove any sign or signage considered by the Art Walk Director or Downtown FWB Organization to be inappropriate.

PARKING 

  • Vendors are permitted to use all public parking spaces available.
  • There is NO designated artist parking for the event
  • It is recommended that vendors park away from pedestrian areas since parking downtown is limited especially if the vendors uses a trailer or larger vehicle.
  • Parking next to your assigned space may be difficult as the event is along the sidewalk of Downtown Fort Walton Beach. Vendors are advised to look at assigned spaces prior to the day of the event to locate nearby parking.

SAFETY 

  • Vendors and their representatives agree to protect and hold the Downtown FWB Organization, their employees, agents, and representatives harmless and to protect such entities from any and all claims, demands, suits, actions, judgments, and recoveries, for or on account of any damage, theft, or injury (including death) to property or person occurring as a result of the artist’s use of Downtown FWB Street Fest space for which artists have been approved, including loss or injury resulting to the vendor from any cause whatsoever, including but not limited to electrical or equipment failure.

GENERAL INFORMATION 

  • The Downtown FWB Street Fest promotes a family atmosphere. Vendors shall conduct themselves at all times in a courteous and professional manner. Proper dress is required of all artists. Rude, abusive, or other disruptive or offensive conduct is not permitted. Profanity or otherwise offensive language, including gestures, is prohibited.
  • Vendors who violate any of the regulations contained in the event guidelines will be given a verbal warning. A second violation for the same, or for a different violation, will result in a written warning sent via email. A third violation will result in the termination of the vendor’s space and forfeiture of all fees.
